Asana AI vs monday.com AI vs ClickUp Brain: Real AI Project Management Cost per Employee in 2026
The short answer: the three tools charge for AI in three different ways, so comparing sticker prices misleads. Asana includes AI in the base subscription and meters it through a pooled credit allowance per account. monday.com sells seats plus AI credits at about $0.01 each, with a monthly allowance per plan. ClickUp sells Brain as a per-seat add-on of $9 a month billed on every paid member. Under the ILLUSTRATIVE usage levels below, the annual total per employee ranges from about $132 to $354 on Asana, $144 to $588 on monday.com, and $252 to $480 on ClickUp, and the marginal AI cost per employee ranges from nothing to $336 a year. The base subscription is a separate layer, and in every case the total depends more on how many credits you consume than on the seat price.
Layer 1: the base work-management license (REPORTED, from vendor pricing pages as summarized by third parties)
| Vendor and plan | Annual billing per seat per month | Monthly billing | Notes |
|---|---|---|---|
| Asana Starter | $10.99 | $13.49 | Includes AI and unlimited automations |
| Asana Advanced | $24.99 | $30.49 | Adds portfolios, goals and analytics |
| monday.com Standard | $12 | about $15 | 250 automation actions a month; 3-seat minimum |
| monday.com Pro | $19 | about $24 | 25,000 automation actions a month |
| ClickUp Unlimited | $7 | $10 | 1,000 automations a month |
| ClickUp Business | $12 | $19 | Needed for the AI add-on in the comparison below |
monday.com's own pricing page (OFFICIAL) lists Basic at $9, Standard at $12 and Pro at $19 per seat per month billed annually. Seat counts were reported to move in buckets (a 3-seat minimum, then increments of five), so 12 employees pay for 15 seats. Enterprise tiers for all three are quote-only.
Layer 2: the AI layer
Asana (REPORTED). AI Studio Basic is bundled with Starter and above and pooled at the billing-account level: 50,000 credits a month on Starter, 75,000 on Advanced and 200,000 on Enterprise. AI Studio Plus was reported at $150 a month for 100,000 credits ($1.50 per 1,000; the source's own per-1,000 figure of $1.35 does not match its price). AI Studio Pro is an annual contract at about $0.40 per 1,000 credits at typical rates, and a Pro overage top-up was reported at $499 for 2.5 million credits. The pool is shared across the account, so a 50-seat Advanced workspace gets about 1,500 credits per user.
monday.com (OFFICIAL for the itemized offer, REPORTED for the rest). The pricing page itemizes AI credits at 1,000 for $10 on Basic and 3,000 for $30 on Pro, and currently applies a special monthly discount that offsets that amount. Allowances of about 1,000 (Basic), 2,000 (Standard), 3,000 (Pro) and 20,000 (Enterprise) credits a month per account were reported, with extra credits at $0.01 each on annual plans and $0.0125 monthly (REPORTED). Sources disagree on the packaging: some describe credits as bundled, one describes credit purchases as mandatory for new accounts from May 2026, and one describes AI features as locked to Pro. The offset discount may not persist.
ClickUp (REPORTED). Brain AI at $9 per user per month annual ($18 monthly), billed on every paid member of the workspace whether or not they use it, with 1,500 AI Super Credits a month; Everything AI at $28 ($68 monthly) with 5,000 credits, the Brain MAX app and Super Agents; credit top-ups at $10 per 10,000. One source listed Brain at $7, and the $9 figure from multiple sources is used. Whether allowances are per seat or pooled was not stated clearly, so the model treats them as per seat.
Usage levels and credit demand
ILLUSTRATIVE credits per employee per month: A, light summaries and search: 100. B, daily writing and planning: 500. C, heavy automation and agent use: 3,000. Plans: Asana Starter for A and B, Advanced for C; monday.com Standard for A and B, Pro for C; ClickUp Business with Brain for A and B, Business with Everything AI for C. Asana overage is bought in 100,000-credit Plus blocks; monday.com overage at $0.01 a credit.
Formulas: credit demand = employees × credits per employee; overage = max(0, demand − pool); annual total per employee = (seats × plan price × 12 + overage cost) ÷ employees.
Annual total cost per employee
| Employees | Level | Asana | monday.com | ClickUp |
|---|---|---|---|---|
| 10 | A | $131.88 | $144.00 | $252 |
| 10 | B | $131.88 | $180.00 | $252 |
| 10 | C | $299.88 | $552.00 | $480 |
| 100 | A | $131.88 | $153.60 | $252 |
| 100 | B | $131.88 | $201.60 | $252 |
| 100 | C | $353.88 | $584.40 | $480 |
| 1,000 (list-rate reference) | A | $133.68 | $155.76 | $252 |
| 1,000 (list-rate reference) | B | $140.88 | $203.76 | $252 |
| 1,000 (list-rate reference) | C | $353.88 | $587.64 | $480 |
At 1,000 employees all three would be on quote-only enterprise plans, so that block applies the published per-seat tiers and list overage rates as a reference, not a quote. For example, monday.com level C at 1,000 employees is 3 million credits a month, 2,997,000 above the Pro allowance, or $29,970 a month.
Marginal AI cost and break-even minutes
Marginal AI cost counts only AI-specific charges: credit overage on Asana and monday.com, and the add-on on ClickUp. It excludes the tier uplift that some levels also require for automation. Formula: break-even minutes saved per employee per month = marginal AI cost per month ÷ loaded hourly cost × 60, with $40 an hour (ILLUSTRATIVE).
| Employees, level | Asana | monday.com | ClickUp |
|---|---|---|---|
| 10, A | $0 (0 min) | $0 (0 min) | $9.00 (13.5 min) |
| 10, B | $0 (0 min) | $3.00 (4.5 min) | $9.00 (13.5 min) |
| 10, C | $0 (0 min) | $27.00 (40.5 min) | $28.00 (42.0 min) |
| 100, A | $0 (0 min) | $0.80 (1.2 min) | $9.00 (13.5 min) |
| 100, B | $0 (0 min) | $4.80 (7.2 min) | $9.00 (13.5 min) |
| 100, C | $4.50 (6.8 min) | $29.70 (44.5 min) | $28.00 (42.0 min) |
Per-month figures are per employee. At light and moderate use, Asana's pooled credits are effectively free and ClickUp's per-seat add-on is the biggest AI line. At heavy use, credit-metered monday.com costs about as much per employee as ClickUp's Everything AI ($29.70 versus $28.00), while Asana's overage at Plus rates is $4.50 because its pool is larger and its per-credit rate is lower. Level C on Asana also requires the Advanced tier, which costs $168 a year more per seat than Starter for features beyond AI.
Other layers
Storage and guests. ClickUp's free plan caps storage at 100 MB across the workspace, and monday.com's Basic plan lists 5 GB; paid ClickUp plans were reported as unlimited. Guest access on monday.com is available from Standard, though external collaborators were reported to sometimes require a paid seat. Enterprise security. SSO, audit logging and higher limits sit on Enterprise tiers, which are quote-only. Implementation. Onboarding and migration costs were not publicly listed for any of the three.
Sensitivity
- Credits per employee. Moving monday.com from level B to level C at 100 employees multiplies credit cost by 6.2 ($5,760 to $35,640).
- Promotional offset. If monday.com's discount ended, the included Standard allowance of 2,000 credits would cost $20 a month per account, or $240 a year, which is $24 per employee at 10 employees and $2.40 at 100.
- Seat rounding. monday.com's 5-seat buckets add up to 4 unused seats, an extra 25% at 12 employees (15 seats, $180 a month versus $144).
- ClickUp adoption. Brain is billed on every paid member; with 5 of 30 people using it, the effective cost per active user is $54 a month.
Budgeting traps
- Comparing bundled AI with standalone AI. Asana's base includes AI, ClickUp's add-on is separate, and monday.com's is an itemized credit line.
- Pooled versus per-seat credits. Asana's pool is per account, so allowance per person falls as headcount grows.
- Whole-workspace billing. ClickUp's add-on applies to all paid members.
- Tier lock. Automation limits (250 actions on monday.com Standard) can force a Pro upgrade before AI does.
What to ask before you buy
Ask each vendor how many credits a typical summary, an AI field and an agent run consume, whether allowances are pooled or per seat, whether any promotional offset is guaranteed at renewal, and what the enterprise minimum is.
