The short answer: these three are not the same kind of purchase, and comparing sticker prices directly is the most common budgeting mistake. Acrobat AI Assistant is an add-on to a PDF license. Microsoft 365 Copilot is sold two ways for organizations of up to 300 users: as a standalone add-on to an existing Microsoft 365 plan, or inside a Business Standard bundle. Google Workspace bundles Gemini into the suite price and does not sell it as a separate purchase. An Acrobat license is not a suite: it sits on top of whatever suite the company already has. Microsoft and Google Business plans are capped at 300 users, so the 1,000-employee scenario below uses enterprise editions instead. A fair comparison isolates the AI increment.

The two Microsoft purchase paths for up to 300 users are different transactions and should not be netted against each other. An organization that already owns a qualifying plan buys the Copilot Business add-on at $18 promotional or $21 normal list. An organization buying or re-buying Business Standard can buy the $23.50 bundle instead, an effective uplift of $9.50 a month over the $14 plan alone. A $2 per month Gemini uplift was reported as the historical price increase when Google folded Gemini into Business Standard; it describes what the bundling added to the suite price at the time, not a Gemini add-on a buyer can purchase today (REPORTED).

Formula: annual effective AI cost per employee = (monthly AI price × 12) × share of employees licensed. Microsoft and Adobe let you license selectively; Google's bundle applies to every seat because the suite price already includes it. The Copilot Business promotional price should not be assumed to persist at renewal.

Google has no separately purchasable Gemini line, so it has no row: its AI cost is inside the suite total below. Google's Enterprise editions, which would apply at 1,000 employees, were not publicly priced at the time of review (QUOTE-ONLY / UNKNOWN). Adobe enterprise agreements were reported to land at 50–70% of list at large seat counts (REPORTED).

The last row of the first table shows why an Acrobat figure must not be compared with a suite: it is an additional PDF layer, and adding it to any suite raises the total by $347.76 per employee per year at list.

What changes the answer

1. Who needs the seat. Selective licensing changes the Microsoft numbers but not Google's. The per-employee annual cost of a Microsoft team is $168 + (share licensed × AI increment). At 25% of employees licensed, the AI adds about $54–$63 per employee on the add-on path ($216–$252 × 0.25) and about $28.50 per employee on the bundle path ($114 × 0.25). Google stays at $168 regardless of adoption. Because both Business Standard plans are priced at $14, any Copilot seat makes the Microsoft total higher than Google's, and the question is whether Copilot's depth is worth the difference. 2. Storage and tiers. Acrobat Teams was reported with 100 GB of cloud storage per seat (REPORTED); suite storage and security tiers differ by plan and should be priced from the tier you actually need. 3. Enterprise discounts. Microsoft field teams were reported to have 15–20% discount authority at fiscal year-end (REPORTED). 4. Usage limits. Caps on AI features vary by plan and can change; ask for written limits for the volume of documents your team processes. 5. The 300-user ceiling. Growing past 300 users moves Microsoft from the $9.50 bundle uplift or $18–$21 add-on to the $30 enterprise add-on on top of an enterprise suite, an increase of 43–67% per Copilot seat versus the add-on path.

Google Workspace has no separate AI price, so its break-even applies to the whole suite, not to Gemini alone. The cost of each AI seat is small; the real question is whether people actually use the feature every month.

Budgeting traps

  • Comparing an add-on to a suite. The most common error, and the reason this article separates the layers.
  • Netting the two Microsoft paths. The bundle uplift and the standalone add-on are different purchases with different eligibility.
  • Promotional pricing. A $3 promotional discount on a per-seat AI license becomes a $3,600-a-year line at 100 users.
  • Tier lock. AI features may require a specific base tier, so the upgrade can cost more than the AI line itself.
  • Renewal escalators. A cap on renewal increases is a negotiable term that most buyers leave out of the paper.
